Why spreadsheets are costing you bids

Most care providers do not lose tenders because they write badly. They lose them because they miss a clarification deadline, submit against the wrong specification version, or discover two bids land on the same week when it is already too late to do either properly.

When you are juggling three, four, or five live opportunities across different councils — each with its own portal, timeline, and question rounds — things fall through the cracks. The information lives in email threads, sticky notes, and one person’s memory. If that person is off sick or on leave, the bid stalls.

What the tool looks like

The core views being built:

Live bids dashboard — every opportunity you are actively pursuing in one place. Council, contract title, portal reference, estimated value, submission deadline, and a RAG status your team updates weekly. Sort by deadline and you immediately see what needs attention this week.

Clarifications log — every question raised and every answer published, logged against its parent bid. When a clarification changes the specification, the log surfaces it before it costs you marks.

Submissions tracker — once a bid is submitted, this view takes over. Submission date, portal confirmation reference, standstill period, expected award date — no more digging through emails to find out when you should hear back.

Outcomes and lessons — after the award decision, capture whether you won or lost, any feedback received, and lessons learned. Over six months, patterns emerge that are worth more than any single bid.

Pipeline planning view — a date-based view showing submission windows, standstill periods, and expected award dates across active and recently submitted bids. The view you pull up in your weekly meeting to answer: “Can we realistically take on another opportunity this month?”
